  • Medical Staff Expectations for CPOE Usage

    Computerized Physician Order Entry will become a standard way of providing care for patients in the future. Health care reform, as outlined in meaningful use, will mandate this technological change. More importantly, adoption of the process helps our patients to realize the benefits of error reduction and improvement in patient safety.

    We appreciate your willingness to use CPOE at Union Hospital. The following is a list of expectations that will help guide you and the leadership through implementation of CPOE.

    • CPOE will help improve the accuracy of the order entry process by removing the extra steps that lead to medication   error. The medical staff has committed to this process.

    • Before entering orders the provider must have completed training on site and via the modules on the internet.

    • There will be times that you will not be able to put in a specific order but we expect that you will do all that is possible to enter the order via CPOE without compromising patient care.

    • Our medical staff will work with you to insure that we comply with CPOE while making sure we do not compromise patient care.

    • We will provide you as much support as possible to insure you are adequately trained to use CPOE. Ultimately, the effort you put into the process will determine your success.

    • This process will have moments of frustration. Expression of that frustration to front-line staff (i.e. nurses, unit clerks, etc.) is not recommended. Please direct your concerns to the medical staff office where your concerns will be relayed to the medical staff leadership and those who can address the problem.

    • We are committed to continue to improve the ease of use of CPOE through development of order sets and through workgroups. Your leadership and participation will assist us in making this an ideal solution

    Training

    When will Computerized Physician Order Entry be required at Union Hospital?

    Where do I get training?
    The didactic modules are located here: http://physicians.uhcc.com/Resources . We strongly encourage you to call the medical staff office to set-up a training session after you have completed the on-line modules.

    What if I did the training but still do not feel comfortable putting in my orders?
    Please call the medical staff office to set-up additional training sessions.

    What if I don’t want to do it?
    The medical staff leadership and medical staff have committed to CPOE. If you refuse to do CPOE you will be referred to medical staff leadership.

    Access

    I can’t get Meditech at home?
    You should be able to download VPN and the Meditech software necessary to access order entry from home. Any place you currently have Meditech you should be able to access CPOE. http://www.uhcc.com/meditech

    Order Entry Problems 

    What if I don’t know how to put in a specific order?
    Look for someone on the unit with a GREEN CPOE BUTTON. These individuals are ready and willing to help you place your orders and answer any questions you may have.

    What if I cannot find the specific medication?
    Look for the GREEN CPOE BUTTON.

    Exceptions to order entry

    Do I have to get up in the middle of the night to put in my orders from home?
    This would be ideal to insure the accuracy of orders but it is not required.You may still give telephone orders in this circumstance. We ask when possible to put in your orders from home as you would in the hospital.

    What is the difference between a verbal order and telephone order?
    Telephone order is an order that assumes you are off the unit and do not have reasonable access to a computer. A verbal order is one you give on the unit where you are caring for the patient (see below).

    Are verbal orders allowed?
    Verbal orders are only allowed if the provider cannot access a computer because they are either in an emergency situation or in surgery.

    Can I go to the other units and give all my orders via telephone to avoid doing CPOE?
    Nice try. No.

    What if I can’t figure out a specific order entry and no one else can help me after several attempts to get help?

    If you do due diligence to enter an order that you cannot enter for whatever reason you will be able to write the order in the chart. We ask that you notify the unit clerk or inform IT of the problem so it can be corrected. Communication via email or MOX to the medical staff office would help us correct the problem for the future.

    What do I do if I can’t find a computer to put in my orders?

    Newly designated provider only terminals will be labeled by the implementation date. You are welcome to bring in your personal laptop and use it in the hospital. Call information services at 410-620-3777 to help you.

    Effective immediately, a Guest Wireless Connection is available. In order to connect to the Wireless Network, please follow the steps outlined below:

    • Right click on their wireless network icon on your laptop
    • Go to view available networks.
    • The network name is Union Hospital
    • Highlight it and click Connect.
